The Assistant Director for Marketing & Communications is responsible for the management of the communications and marketing efforts of the Alumni Stakeholder Engagement (ASE) teams. Under collaborative agreements currently in place, this includes marketing and communications for the UW Alumni Association and the UW Retirement Association (UWAA and UWRA--two affiliated membership non-profits).
Working closely with ASE marketing leadership and the unit’s traffic coordinator, the Assistant Director plans, manages, and reports on print and digital marketing projects, including event promotions, stakeholder communications, and membership acquisition materials. These programs and services have the following as their audience: members of UWAA and UWRA, UW alumni and friends, volunteers, students and other university stakeholders and constituencies.
Marketing and Communications (60%)
• In partnership with ASE marketing leadership, coordinate and develop project management work plans for CME and graphic design teams to help ensure that work is completed successfully and on deadline. • Assist in the development, maintenance and evaluation of ASE marketing and communications planning and production process. • Integrate brand standards and identity into all marketing and communications collateral, online messaging and electronic communications. • Manage and produce new and existing print and online communication assets of UWAA, UWRA and ASE. • Coordinate with the Director of Membership and ASE marketing leadership to create membership campaigns, as well as regular communication publications • Coordinate with the Associate Director of Business Development to fulfill sponsorship assets and acknowledgment. This includes incorporating sponsorship recognition in ongoing digital and print communications, as well as dedicated event and/or programming recognition. • Collaborate with the unit’s Executive team to coordinate internal stakeholder communication needs, including, but not limited to e-newsletters, web pages (both UWAA and UW Magazine), white sheets, annual reports, executive messages and potential fundraising initiatives. • Participate and/or lead weekly and monthly marketing meetings and collaborate with ASE engagement team project managers to develop and achieve specific program and event marketing and storytelling objectives. • The above pertains to the following programs: UWAA membership acquisition, renewal, stewardship UWRA membership acquisition, renewal, stewardship UWAA Alumni Tours program ASE student engagement program (including Homecoming) ASE lifelong learning and constituent relations program (including lectures) ASE regional engagement program ASE special-interest engagement program ASE social engagement program (including Warm Ups, networking events) Social media platforms (including Facebook, Twitter, LinkedIn, Instagram)
• Monitor compliance with production schedules, proofing process and suggest modifications as necessary to production process to achieve goals of streamlining, process clarity. • Collaborate with Directors of Marketing and Digital Engagement, as well as Traffic Coordinator to produce MarCom-related reports, including data gathering and assessment, and disseminate and/or present to key audiences. • Manage marketing budgets, working closely with staff to monitor, analyze, and report out.

Supervision Received This position reports to the Director for Marketing & Communications.
Bachelor’s Degree in Communications, Marketing, Journalism, Writing, English or Business. or related field and four to five years of progressively responsible marketing and communications experience. Equivalent combination of education and experience from which comparable knowledge and skills have been acquired may substitute for degree.
• Demonstrated success in professional project management, writing, editing and proofreading; experience aligning visual and written content. • Demonstrated ability to align business strategy with marketing and communications planning. • Computer literate and embraces the use of technology. Experience with standard office and design/photography software and applications, understands various file formats, familiar with internet applications. • Ability to effectively communicate objectives, energize and inspire staff to achieve results and meet goals while creating a culture of collaboration within direct teams and across organizational units. • Ability to work independently, problem solve, take initiative, set priorities and handle multiple projects efficiently and effectively. • Project management experience. • Knowledge of and skills in principles of marketing and communications. Experience in using Internet applications and social media tools to tell stories and build relationships. Demonstrated interest in keeping abreast of new technologies. • Knowledge of higher education mission and organization. Experience in a large, research-oriented public institution of higher education. Knowledge of university advancement principals. • Demonstrated visual design capability.
CONDITIONS OF EMPLOYMENT
• Cubical/Open workspace environment which may result in additional or higher levels of noise and visual distractions. • The Marketing and Communications team touches almost every project within the ASE sphere. Work flows through in seasonal cycles. Frequently during the course of the year, the volume of SE activities will swell to a point requiring more than 40 hours of work per week to maintain deadlines. • A substantial portion of the projects this position will work on will have milestones and deadlines. At times the demand for projects will exceed the capacity of the team to meet deadlines. This position will play a critical role in negotiating prioritization of projects while maintaining relationships and a collaborative environment. • Attends meetings both on and off campus, during the work day and after hours. Occasional evening and weekend work required. Occasional local travel required. Must have reliable transportation to meetings; transportation may not be provided. • A valid Washington State driver’s license is required to operate the UW Alumni Association Van. Candidate selected must have personal transportation and be willing to travel when necessary.
